Account for the costs of keeping the room useful
Build an operating-cost model from the installed equipment and the intended schedule. Use documented power data and a realistic operating profile rather than multiplying a generic figure by floor area.
Plan maintenance around access and process interruption. Filters, seals, hardware and controls may have different inspection or replacement needs. The correct interval depends on the equipment information, operating conditions and the user's maintenance programme.
Include the cost of change. New equipment or altered workflows can require modifications, updated documents and performance checks. Keep these activities visible in the ownership budget instead of treating every later change as an unexpected expense.
Configuration decisions
| Decision | What to define |
|---|---|
| Energy | Use equipment data, operating hours and site energy rates. |
| Maintenance | Plan inspection, replacement parts and service access. |
| Cleaning | Estimate labour, materials and the effect on operating time. |
| Modification | Allow for changed equipment, reinstatement and agreed rechecking. |
Should filters be budgeted at a fixed replacement interval?
Use the equipment recommendations and the facility maintenance strategy, informed by operating condition and monitoring. A universal interval is not a reliable basis for every room.
