Make the next purchasing decision with the right information.
Whether you need one replacement item or equipment from several product categories, a clear enquiry makes the configuration easier to review. Use this guide to organise the details, identify interfaces and agree what is included before placing an order.
01
Prepare an enquiry that can be compared
Give each item a clear description and reference. When comparing configurations, keep the units, dimensions and required features consistent.
Information to include in a product or project enquiry
Information
What to provide
What it helps clarify
Product and quantity
Product name or website link, number of units and any replacement reference.
Which product and configuration the quotation should cover.
Dimensions
Width, depth and height with units. Identify overall size, working space and clear opening separately.
Whether the product fits the task, installation and access route.
Application
What is being processed, stored or moved, and what the equipment must achieve.
Which materials, features and operating limits need review.
Site conditions
Available power, temperature and humidity where relevant, utilities and service access.
Compatibility with the location and connected equipment.
Destination and timing
Delivery city and country, unloading constraints and required date.
Which packing, transport and schedule details need confirmation.
Required evidence
Specified drawings, material records, test reports or certificates, including the applicable requirement.
Whether the proposed configuration can be supplied with the documents needed.
Keep a consistent enquiry format.
Use the editable text checklist for a single item or repeat the item section for a purchasing list.
Items can be individually suitable and still fail to fit together. Review the connections before treating a product selection as a complete configuration.
SPACE & ACCESS
Fit the installation and the delivery route
Separate equipment footprint from working and maintenance clearance. Check doors, lifts, corridors and the route to the final position. Where a product is built into a wall, identify the opening and wall thickness instead of supplying only the room dimensions.
MECHANICAL CONNECTIONS
Match the adjoining components
For doors and panels, confirm frame and joint details. For filters, identify the actual housing dimensions, sealing arrangement and access side. For ducted or piped equipment, specify connection size, position and the responsibility for the connecting parts.
POWER & CONTROLS
Describe the available services
Provide voltage, frequency and phase rather than a country name alone. Identify required control signals, communication interfaces and any equipment that must operate together. Local electrical installation and site integration need a defined responsible party.
OPERATING CONDITIONS
State the conditions behind the requirement
Describe the materials handled, cleaning method, duty cycle and environmental limits. If a capacity or performance value matters, state the operating conditions and acceptance method associated with it. Do not assume that one catalogue value applies to every installation.
For each line item, distinguish the main product, selected accessories and work carried out at the site. The final quotation and agreed specifications should define the supply scope.
Identify the supplied items
Product configuration, materials, dimensions and quantity.
Included accessories, controls and connection parts.
Requested spare parts or replacement consumables.
Agreed drawings, instructions and supporting records.
Clarify responsibilities separately
Site measurement and approval of installation dimensions.
Unloading, lifting, assembly and positioning.
Electrical, ductwork, piping and building modifications.
Installation, commissioning and any site acceptance testing.
A product enquiry does not automatically include installation, local approvals or site certification. If these are required, raise them at the start so their availability, scope and responsible parties can be discussed. Packing, transport arrangements and timing also need confirmation for the actual order.
04
Review the configuration and supporting documents
Match the documents to the selected assembly and intended use. A record for one component does not establish the performance of the complete installation.
Check dimensions and layout.Review external size, usable space, opening direction, connection positions and access for maintenance. Identify which drawing revision is being approved.
Resolve substitutions before ordering. If an alternative material, component or configuration is proposed, compare its effect on the application and required evidence rather than accepting the name alone.
Identify the required documents.List the instructions, drawings, material information and test or certification records you need. Availability must be confirmed for the particular product and configuration.
Keep the agreed specification together.Retain the final quotation, item list, drawing revisions and written clarifications as one purchasing record. Use that record when checking the delivered items.
Before you send the enquiry
Can I enquire without a model number?
Yes. Send a product link or describe the task, quantity and key dimensions. Make clear which details are still undecided so the discussion can focus on the missing information.
Can one enquiry cover several product categories?
Yes. Use a line-by-line purchasing list and mark which items must connect or operate together. This is more useful than a list of product names without quantities or installation details.
Does a product listing confirm certification or availability?
No. Any required certification, test evidence, availability and delivery timing must be confirmed for the offered configuration and order. Include these requirements when requesting a quotation.
How should I send drawings or photographs?
Use email or WhatsApp for files. Include the product name or enquiry reference so the material can be linked to your request. The website form is suitable for a written requirements summary.
READY TO DISCUSS THE DETAILS?
Send the requirement, not just the product name.
Include the details you have and identify what still needs confirmation. We can then discuss product selection and the next information needed for a quotation.
